AI Lund – Integrity policy
In order for us to fullfill our mission to share knowledge, inform about our activities and interact with research partners and other stakeholders, we sometimes need to collect and process personal data. For personal data collected on web pages at the address: ai.lu.se and for public arrangements undertaken within the AI Lund Network at Lund University the following principles are applied.
Types of personal data
The activities of the AI Lund Network mainly process personal data in the contexts described here.
Digital Tracks
When you visit our web pages, we collect personal data such as your IP- address, information about your browser etc. We use this data to provide services on our websites and our web servers.

Some of our emails are sent via a cloud service provided by Lime Technologies (processor). If you subscribe to one of our mailing lists, we track which email addresses have expired, which emails are opened and which links are clicked. The purpose of this is, for example, to stop sending emails to addresses that have expired, but also to improve the quality of the content on an aggregate level and avoid sending unnecessary reminders.

Web forms
When you fill out forms on our websites, you know which personal data you provide - and the purpose is apparent from the context. Often, the aim is to participate in a public event, be included in a mailing list or subscribe to a newsletter, but can also entail contributing to a survey. Only specific staff at Lund university have access to the personal data you provide, unless we clearly state otherwise.

Photography and filming at public events
Sometimes, we photograph or film speakers or people who in other ways actively contribute to our public events. The purpose is then to provide information about the event or to spread the content of the event to a broader audience. This is one of the tasks included in our official mission as defined by the national government. We may also use photography and filming as input to improving our ways of working.
In order to avoid spreading personal data unnecessarily, we publish only pictures of individuals who are active contributors to our events. If we plan to publish identifiable photos of audiences, we will inform them prior to the event and explain how to avoid ending up in pictures or films. This is done, either in advance or at the beginning of the event. NOTE! We are not responsible for how other participants film and take photographs at our events.

If we want to use photos and films from the events in other contexts than the ones listed above, we will ask for a documented consent.

Your rights
We store personal data for different lengths of time depending on varying regulations for different contexts. If you want us to stop processing personal data given to us in contexts outlined in this document – or have them deleted, please contact Jonas Wisbrant. However, Lund University as a public authority has a duty to comply with the rules of public access to documents, government archives and public statistics and will process personal data in the manner required to comply with all applicable legislation.
